SAFE EVENTS

Safe events are planned with careful consideration of all safety aspects before, after and during the event itself. The basic aspects are regular communication, thorough preparation and transparency of the organization of the event.

That is why we have prepared the Safe Event document, which is a set of security rules that is regularly updated according to the current situation. All GUARANT International employees got acquainted with the material and were trained to be able to organize a safe event. Official rules and recommendations are prepared according to the instructions of the Ministry of Health, the Office of the Government of the Czech Republic and the WHO (World Health Organization).

USE OF CONTACTLESS SYSTEM

  • Before an event, we send instructions to the participants on how to behave in order to protect not only themselves but also the people around them (all participants receive an e-mail with a list of all rules, personal ten Nocovid-Commandments and further possiblemeasures taking place at he event venue).
  • Where possible, we implement a contactless system. From disinfection
    dispensers to registration of participants for the event.

WE FOLLOW BASIC HYGIENE RULES

  • Disinfectants are available at every event in the form of antibacterial gel
    dispensers for participants.
  • We provide participants with the possibility to disinfect their hands when entering the building, before eating and drinking, after using the toilets and when entering the conference hall.

REGISTRATION

  • We mark the premises with signs (e.g. marks on the ground indicating
    2.5 mfor sufficient distances in the queue).
  • We only accept contactless payments.
  • At the registration desk, we hand out hygienically packed congress
    materials.
  • Registration staff use protective equipment (face masks, shields and
    gloves).
  • We regularly disinfect the registration counters.

SETUP

  • We use such solutions and venue equipment to enable an easy disinfection (washable materials, simple, easy-to-wipe equipment, etc.).

WE AVOID UNNECESSARY PRINTED MATERIALS

  • We also avoid unnecessary paper items during the event.
  • Atmost events, the participants use an application on theirmobile phones. They will have all the information in the application.

STAFF

  • We equip all staff with mandatory face masks and disinfectants.
  • We regularly check the replacement and disinfection of protective
    equipment: face masks every 3 hours (disinfection of glasses every 3
    hours).
  • We guarantee the health of our employees.

ACCOMPANYING PROGRAMME

  • All performers observe all regulations and follow the organizer’s
    instructions.
  • Complying with all hygiene and safety standards (related to COVID-19) is essential for all performers.
  • The performer should provide a declaration of honour that he/she has not come into contact with an infected person in the past 14 days.

ENSURING ACCESS OF FRESH AIR

  • Clean air is essential. The premises will be ventilated regularly.

STRENGTHENINGTHE INFORMATION SYSTEM

  • The premises will be provided with panels describing rules of correct
    behaviour, reminding participants all the time what to do and how.

CATERING

  • Catering staff, as well as the rest of the staff, adhere to strict safety rules
    and will be equipped with protective equipment when serving articipants.
  • Refreshments will be served in accordance with hygiene and safety rules.
